Everything You Should Know About Backing Up Your PST File

- Manual copy of the PST file

C:/Documents and Settings/%username%/Local Settings/Application Data/Microsoft/Outlook/
In Windows Vista and Windows 7, this location is:
C:/Users/%username%/AppData/Local/Microsoft/Outlook/
Then you have to copy the above located file to: another file, or folder, or an external hard disk, or an USB flash drive, or a CD-ROM or DVD-ROM.

- If you want to use the PST file from a different location
You should be aware than when Windows crashes, the files (and folders) on the C drive will become corrupted. Moving your PST file to another drive is indeed a good thing. The next step is to set the path for Outlook of that file pointing to that different drive. In order to do that, close your Outlook, move your PST file from the above folder then start again Outlook, browse to go to the new location when you do see the prompt.
If something were to happen to the relocated file, and you will have the need to retrieve a backup version: simply rename your old Outlook file using a different extension.
- Import and Export
If you want to export your personal folders from Outlook, and reimport them after a while, it is possible to do that. You can use this method to export your PST file to a different secure location on your hard disk and re-import it in case of a system crash. In order to export the PST file: in Outlook, go to ‘File’ – ‘Import and Export’. In the dialogue box that comes up, choose Export to a File. In the next window that comes up, choose Personal Folder File (.pst). Then in the following dialogue box, choose the folders you want to export. Be sure to keep the ‘Include subfolder’ checkbox ticked so all your subfolders, and folders, are included in the file you will export. Then on the next window, simply choose a name for the file you want to export and browse to its new location.
To import your file from the backup, go to ‘File’ – ‘Import and Export’. From the Dialogue box then select ‘Import from another program or file’. After that, select ‘Personal Folder File (.pst)’. Navigate to your backup file then import it. After that, the old configuration from that old file will be applied to your Outlook.
- Using the add-in for the PST file backup
Microsoft has provided a free Add-in for Outlook which allows you to backup your PST file at the click of a button. You have to: download and install that add-in. It is known as ‘Personal Folders Backup’ from Microsoft. On your ‘File’ menu, you will get a new option named ‘Backup’. This very useful tool enables you to select the files and folders you want to backup. You can choose also the backup frequency.
